Introducing Client Notes in the Hub: Record Everything You Need to Know, Right on Their Profile

Managing clients means remembering a lot. Meeting outcomes, special requests, project preferences, follow-up tasks… the list goes on. And when that information lives across email threads, documents, and random notes, staying organized becomes its own job.

That’s why we built Client Notes. Now you can capture and store client information directly on their individual profiles in the Hub, keeping everything accessible right where you’re already working.

Notes are searchable, easy to edit, and encrypted for security.

We’re listening and building. When we released Site Notes to help you organize site-specific tasks and project details, you asked for the same functionality on client profiles. Client Notes bring that same power to client management, giving you one consistent way to track information across your entire Hub workflow.

Here’s how they help:

Build a reference library for each client

Click into any client profile to open the notes panel and start recording information. Whether you’re documenting requirements after a discovery call, tracking ongoing requests, or keeping a list of client preferences, your notes stay connected to that specific client.

The built-in editor supports full rich text formatting. Structure your notes with headings, emphasize key points with bold or italic text, and include links to relevant resources or documentation.

Need to track tasks? Create checklists where you can mark items complete as you work through them. Or build numbered and bulleted lists to organize action items and priorities.

Navigate your notes efficiently

As you add more notes across different clients, finding specific information stays simple. Use search to locate details instantly, pin your most referenced notes to appear first, and mark favorites for quick access later.

Each client profile supports up to 10 notes, with each note holding up to 5,000 characters. If your workflow needs more capacity, contact our support team.

Protected by default

Client information deserves strong security. Every note you create is encrypted in our database, ensuring sensitive details stay protected.

Choose who sees what

By default, your notes are visible only to you. When you want to bring team members into the loop, you can assign them View or Edit permissions through their role settings.

Client notes permissions

Team members will access notes for clients they’re connected to. Your clients will not be able to view these notes at any point.

Start organizing client work better

Client Notes eliminate the need to maintain separate systems for tracking client details. Everything lives in the Hub where you’re already managing sites and services.
